itSMF Canada is a federally incorporated not-for-profit organization owned solely by its members, and operated largely by volunteer members within its national and branch organizations.
itSMF Canada collects the following personal information:
- Language preference
- Type of membership and date of joining
- Business, cell/mobile and home telephone numbers, fax
- Primary and secondary email addresses
- Credit Card information
- IT Service Management certifications
- Volunteering interests
itSMF Canada uses your personal information to:
- Manage your relationship with our organization
- Facilitate member participation in the management and operation of the organization
- Promote programs, services, conferences, local and national events, and member benefits
- Process authorized payments
- Distribute societal information
- Facilitate networking with other members
- Harness member expertise
- Solicit member views
- Analyze demographic information on members to improve services and benefits
Your personal information is disclosed to authorized staff and volunteer members of itSMF Canada on a need-to-know basis. These individuals include our head office staff, directors and branch management teams.
itSMF Canada does not sell or rent its list of member contact information. As a standard practice for sponsored events, we do release to our event sponsors, the registration names and email addresses of all attendees at various events.
When itSMF Canada offers and delivers national or branch events, itSMF Canada may, with the permission of event registrants, make information about event registrants available to the event partnering organizations.
itSMF Canada may make anonymous member information available to third parties who provide services or conduct research that is of interest to ITSM professionals and the ITSM industry. Each request for use of the itSMF Canada member information will be evaluated by the itSMF Canada executive on a one-time-use-only basis.
A member’s personal information is retained for the duration of the individual’s paid membership, plus an additional three years. Where an individual is not a member and who has asked to receive notices from itSMF Canada, we will retain the personal information until we have no future business use for the information; when the individual notifies itSMF that he/she does not wish to receive further notices, we will retain the personal information for an additional period of three years.
Correcting and Maintaining Your Personal Information
All members have access to their personal information through the On-line Membership Profile where they can make corrections directly. To gain access to this facility, members must verify their identity with a user ID and password that has been provided to them by itSMF Canada. Your User Name is your primary email address in your profile and your password is set to your first name until you change it.
Members may also obtain a copy of their personal information by submitting a written notice or email request to the itSMF Canada head office. Valid, verifiable membership identification must be provided to obtain your personal information. All requests will be answered within 5 business days.
